Refund Policy

At Universal Youth Alliance (UYA), we aim to deliver exceptional experiences at our events, conferences, and workshops. However, we understand that circumstances may arise where a refund is necessary. This policy outlines the terms and conditions governing refunds for registrations made through our online platform.

Refund Eligibility

Refunds will be issued in the form of UYA Credit Vouchers only. These vouchers can be used for future UYA events or conferences.

The refund policy for each category is outlined as follows:

Fully Funded/Partially Funded Delegates

  • Registration fees for these categories are non-refundable and non-transferable.

Self-Funded Delegates

  • Delegates who paid the full registration fee for any UYA event may be eligible for refunds in the form of UYA Credit Vouchers.
  • Delegates who registered using a discounted registration fee are not eligible for refunds or transfers.
  • Delegates are eligible for a UYA Credit Voucher under the following conditions:
    1. The full conference fee was paid (not in installments).
    2. A request for a credit voucher was submitted via email 45 days prior to the first day of the conference.

UYA Credit Voucher (UCV) Policy

To obtain your UYA Credit Voucher, email registration@universalyouthalliance.org.

  • Validity: UCVs will be valid for 1 year from the date of issue.
  • Non-Transferable: UCVs can only be used by the original recipient.
  • No Cash Value: UCVs cannot be redeemed for cash.
  • Partial Redemption: If the value of the UCV exceeds the cost of a registration, the remaining balance will be carried forward for future use.
  • Usage Limitation: UCVs are valid only for UYA-organized events.

Cancellation Terms

  1. 45 Days Before the Event: Delegates requesting a credit voucher will be charged 25% of the paid amount as a cancellation fee. The remaining amount will be issued as a UCV.
  2. 30 Days Before the Event: Delegates requesting a credit voucher will be charged 50% of the paid amount as a cancellation fee. The remaining amount will be issued as a UCV.
  3. 15 Days Before the Event: Delegates requesting a credit voucher will be charged 75% of the paid amount as a cancellation fee. The remaining amount will be issued as a UCV.
  4. Less than 15 Days Before the Event: Delegates will be charged 100% of the paid amount as a cancellation fee and will be considered a no-show.

Refund Process

To request a refund or UYA Credit Voucher, email registration@universalyouthalliance.org with the subject line: “Refund Request – [Event Name].” Please include the following details:

  • Full Name
  • Order Number
  • Reason for Refund Request
  • Supporting Documentation (if applicable)

Special Circumstances

In cases of force majeure (e.g., natural disasters, acts of terrorism, unforeseen circumstances), UYA reserves the right to review refund requests on a case-by-case basis.

Invitation-Only Category

  • Registration fees paid for obtaining an invitation letter are non-refundable and non-transferable.
  • Obtaining a visa is the sole responsibility of the delegate. UYA will provide only the invitation letter for visa assistance.

Travel Reimbursement Policy for Fully Funded Delegates

  • Fully funded delegates attending UYA events will be required to complete a form with their basic details and bank account information after the event.
  • Reimbursements will be processed within 4–8 weeks after receiving the required information.

Changes to This Policy

UYA reserves the right to modify this policy at any time. Any changes will be updated on our official website.
