Self-Funded Application Policy
Event Date: June 14 – June 17, 2025
Event Location: Malaysia
By applying for the Self-Funded Application Category of the Youth Alliance Summit Malaysia 2025, you agree to abide by the following Terms and Conditions. These terms are binding upon submission of your application. Acceptance of these conditions is mandatory to complete the application process.
1. Eligibility and Application Requirements
1.1. Applicants must meet the eligibility criteria outlined on the official Universal Youth Alliance (UYA) website at the time of submission.
1.2. All information provided in the application must be accurate, complete, and verifiable. False, misleading, or incomplete information may result in disqualification.
1.3. Submission under this category reserves your spot at the Youth Alliance Summit Malaysia 2025 but does not guarantee final confirmation unless all payment and participation requirements are met.
1.4. Selected applicants will be notified and required to confirm their attendance by the provided deadline. Additional requirements may apply.
2. Payment and Refund Policy
2.1. Applicants under the Self-Funded Application Category are required to pay the full participation fee before attending the event.
2.2. Applicants who attend the full event and meet all participation requirements are eligible to claim a refund after the event, as per the UYA Refund Policy.
2.3. Refunds will be processed within the timeline specified by UYA and are subject to verification of attendance and compliance with event rules.
2.4. The following circumstances may invalidate a refund claim:
- Failure to attend the full event.
- Violation of event policies or misconduct.
- Providing false or misleading information.
- Any other conditions outlined in UYA’s refund policy.
3. Visa and Travel Arrangements
3.1. Applicants under the Self-Funded Application Category will receive an invitation letter from UYA for visa application purposes.
3.2. The invitation letter does not guarantee visa approval. Applicants are responsible for fulfilling all visa requirements and submitting their applications to the respective embassy or consulate.
3.3. UYA will not liaise with embassies or schedule visa appointments on behalf of applicants.
3.4. The invitation letter may be used for emergency embassy appointment requests, but UYA holds no responsibility for the outcome of such requests.
4. Event Modifications and Cancellations
4.1. UYA reserves the right to modify, reschedule, or cancel the event due to unforeseen circumstances, including but not limited to natural disasters, pandemics, or travel restrictions.
4.2. Participants will be notified of changes through their registered contact details.
4.3. UYA is not responsible for any financial loss or expenses incurred due to changes, postponement, or cancellation.
5. Media and Promotional Rights
5.1. By attending the Youth Alliance Summit Malaysia 2025, you grant UYA and its partners the irrevocable right to capture and use photographs and videos of the event.
5.2. These images and videos may be used for promotional purposes across various media platforms, including social media, digital content, and printed materials.
5.3. By accepting these terms, you acknowledge:
- UYA is not obligated to remove published images upon request.
- Requests to exclude future use of your media will be considered but do not apply to previously published content.5.4. Participants waive any rights to review, approve, or receive compensation for the use of their likeness in promotional materials.
6. Travel, Accommodation, and Meals
6.1. Participants must cover their own travel, accommodation, and meal expenses unless otherwise specified by UYA.
6.2. Participants must ensure they have the necessary visa or travel authorizations. UYA will provide an invitation letter but will not intervene in the visa process.
6.3. Failure to attend scheduled activities may result in exclusion from future UYA events and loss of refund eligibility.
7. Code of Conduct
7.1. Participants must uphold professionalism and adhere to UYA's ethical standards throughout the event.
7.2. Any misconduct, inappropriate behavior, or violation of guidelines may result in immediate removal from the event and disqualification from future programs.
7.3. Participants are liable for any damages to property and may be required to cover repair or replacement costs.
8. Liability and Insurance
8.1. UYA is not responsible for personal injury, lost belongings, or other damages incurred during the event.
8.2. Participants are advised to obtain travel insurance covering medical emergencies, lost luggage, and unforeseen travel delays.
8.3. UYA holds no responsibility for any legal, travel-related, or personal issues arising from participation.
9. Force Majeure
9.1. UYA shall not be held liable for delays or cancellations caused by external events beyond its control, including natural disasters, government restrictions, or pandemics.
10. Data Privacy
10.1. By submitting an application, applicants consent to the collection, storage, and processing of their personal data for event management purposes.
10.2. Personal data will not be shared with third parties without consent, except when required for event-related services.
11. Acknowledgment and Agreement
11.1. By submitting an application for the Self-Funded Application Category, applicants confirm that they have read, understood, and agreed to these Terms and Conditions.
11.2. Applicants acknowledge that UYA’s responsibilities are limited to issuing the invitation letter and processing refunds as per the agreed terms. UYA is not responsible for the outcome of visa applications.
